This policy explains the information Smart3ch may collect, why we use it, and the choices available to people who use our website and services.

1. About Smart3ch

Smart3ch provides management software and digital services for organizations such as churches, schools, healthcare providers, nonprofits, and other customers. This Privacy Policy applies to Smart3ch's public website, account experiences, demo requests, and platform services.

2. Information we may collect

We may collect information you provide directly, including your name, email address, phone or WhatsApp number, organization name, country, demo preferences, support messages, and other information you choose to submit.

When an organization uses a Smart3ch management system, the organization may store information about its own members, staff, clients, students, patients, donors, visitors, or other people. In those situations, Smart3ch processes that information to provide the service to the organization and subject to the organization's authorized use of the platform.

3. Account, security, and technical information

Smart3ch may process authentication and session information, security events, device or browser information, IP-derived request data, application logs, and similar technical information needed to operate, secure, troubleshoot, and maintain the service.

4. How we use information

We use information to provide and administer Smart3ch services, respond to demo and contact requests, authenticate users, protect accounts, deliver requested communications, improve product reliability and usability, investigate abuse, and meet applicable legal or operational obligations.

5. Analytics and similar technologies

Smart3ch currently uses Vercel Analytics in the production application for aggregate website usage and performance insights. We may also use essential cookies or similar browser storage for authentication, tenant/session continuity, theme preferences, and notice dismissal.

The public website code reviewed for this launch phase does not intentionally include advertising pixels or third-party marketing cookie integrations. If that changes, this policy and the Cookie Notice should be updated before those technologies are enabled.

6. Service providers

Smart3ch relies on technology providers to operate the platform. Depending on the feature being used, these may include hosting, database/authentication, email delivery, security, analytics, and related infrastructure providers. These providers process information only as needed to deliver their services to Smart3ch.

7. Data sharing

Smart3ch does not sell personal information to advertisers. We may disclose information to service providers that support the service, to an organization that controls the relevant Smart3ch workspace, when required by law, or when reasonably necessary to protect Smart3ch, our users, or others.

8. Data retention

We retain information for as long as reasonably needed to provide the service, support legitimate operational and security needs, comply with applicable obligations, and resolve disputes. Retention periods can differ based on the type of information and the customer's configuration or contractual requirements.

9. Security

Smart3ch uses technical and organizational safeguards intended to protect information, including access controls and tenant-aware authorization. No online service can guarantee absolute security, so users should also protect their credentials and promptly report suspected unauthorized access.

10. Your choices and requests

Depending on your relationship with Smart3ch and applicable law, you may request access to, correction of, or deletion of personal information. If your information is controlled by a church, school, healthcare provider, nonprofit, or other Smart3ch customer, you may need to contact that organization first because it controls the underlying records.

11. Children and sensitive information

Some Smart3ch customers may serve children or handle sensitive organizational records. Customers are responsible for using the platform in accordance with the permissions, notices, consents, and legal requirements that apply to their activities. Smart3ch does not ask visitors to the public marketing website to submit sensitive information unless it is necessary for a specific authorized service workflow.

We may update this Privacy Policy as Smart3ch evolves. The "Last updated" date above indicates the current published version. Material changes should be reflected on this page before or when they take effect.
